An exact match on name within the same category is refused outright. Above 86 per cent similarity a near-duplicate is surfaced beside the record it resembles, with that record's stock, barcode and thresholds, and the person decides. Barcodes are checked for collisions across the item catalogue and the asset register together. Nine fields — barcode, category, inventory account, tax treatment, tracking mode, lot, serial and expiry tracking, and FEFO policy — are held for a second approver, with the live record untouched until the change is approved.

Twenty record types across twelve modules can be recovered after deletion — items, adjustments, vendors, customers, assets, asset custodians, users, employees, positions, leave types, shifts, public holidays, projects, tasks, tickets, ticket categories, expenses and the three custom-field types. A restore returns the record with its original identifiers rather than as a copy, and a parent brings back the children deleted with it: project milestones and sprints, customer contacts and addresses, and ticket thread rows.
