Actionable

Strategic Visibility in Every Shelf

In today's fast-paced operational environment, your inventory is more than just stock on a shelf—it's capital that needs to move with efficiency and purpose. AWRA’s inventory management module provides the granular visibility required to transform your storage facilities from passive cost centers into active strategic assets. We bridge the gap between physical reality and digital oversight, ensuring that every item check-in, transfer, and checkout is recorded with absolute precision.

By leveraging intelligent stock thresholds and real-time movement analytics, AWRA empowers your team to anticipate needs before they become emergencies. Our platform is designed to handle the complexity of multi-organization environments, allowing regional offices, individual departments, or seasonal hubs to manage their own specific inventories while providing central management with a unified, high-level perspective of the entire organization's resource health.

Core Management Capabilities

📊

Live Multi-Location Tracking

Gain a 360-degree view of your stock across every warehouse, shelf, and bin. Our real-time engine updates quantities instantly as items move, ensuring that what you see on your screen is always what exists on the floor.

📧

Intelligent Risk Mitigation

Never be caught off guard by stockouts again. Give each warehouse its own minimum and maximum for an item: Reorder offers what has fallen to that warehouse’s floor and suggests filling it to its maximum. The system alerts key personnel by email and in-app notification the moment an item’s stock crosses its reorder point.

📈

Data-Driven Decision Support

Transform raw movement logs into actionable business intelligence. Generate comprehensive reports on turnover rates, aging stock, and consumption patterns to optimize your purchasing strategy and reduce unnecessary capital tie-up.

✅

Immutable Audit Trails

Security is built into every transaction. Every stock adjustment, whether due to breakage, return, or discrepancy, is recorded in a secure audit trail that requires manager approval, ensuring total accountability for every item movement.

🔑

Granular Access Governance

Maintain strict control over who can view, edit, or approve inventory actions. Our role-based access control (RBAC) allows you to tailor permissions to your organizational structure, protecting sensitive data and preventing unauthorized changes.

📌

Strategic Supplier Insight

Inventory doesn't exist in a vacuum. AWRA links your stock needs directly to vendor performance. Compare supplier quotations on price and delivery, and — when you switch it on — on each supplier’s nightly scorecard, so replenishment weighs reliability as well as the quoted figure.

Rules every stock movement obeys

Which batch leaves, what is already promised, and what gets built.

Three decisions sit underneath every issue, sale and transfer. AWRA makes each of them a rule the system enforces in one place, so no screen — the till, an invoice checkout, a transfer or a manual issue — can forget it.

Stock rotation

FEFO or FIFO, set per item.

Each item carries its own rotation: earliest expiry first, or earliest received first. It is read on every allocation path, and expired or recalled batches are passed over. A batch someone picks by hand still wins, unless it is expired or under recall — then the pick is refused, with the reason.

Amoxicillin 500mg · issue 60 FEFOFIFO
B-2207 Received 14 Aug · expires 30 Nov takes 40
B-2131 Received 2 Jul · expires 31 Jan takes 20
B-2240 Received 9 Sep · no expiry recorded sorted last

Switch the same item to FIFO and B-2131, the oldest receipt, goes first. Changing the rotation waits for item-master approval.

Rotation as a governed field
Reservations

Promised stock stays promised.

Confirming a sales order reserves its lines at the order’s warehouse, as much as is free. The rest becomes a backorder, filled oldest first as stock arrives. No other sale, transfer or issue can take what is reserved.

30

Backordered

A till sale for 50 chairs is refused: only 45 are free. The 30 on backorder are filled first when the next delivery lands.

Stock reservations and backorders
Assembly

Components in, finished goods out.

A bill of materials lists what one unit is made of. An assembly order builds or unbuilds at one warehouse, all or nothing, and rolls the component cost into the finished item’s average cost.

Build 20 × First-aid kit, standard

  • 40 × crepe bandage
  • 20 × antiseptic, 100ml
  • 200 × gauze swab
  • 20 × kit case

Short of one case and nothing moves: the order is refused whole, never half-built. Components counted in pieces must come to whole numbers; kilograms and litres take up to three decimals. A count-unit component that would need a fraction is refused rather than rounded.

Bills of materials and assembly

Selling or buying work as well as goods — installation, repairs, consultations, support? A service item sits in the same catalogue and stays out of every one of these stock rules. Service items

Stock rules — what ships today, and what we can add

What AWRA OpsHub does today

  • A rotation setting on each item — earliest expiry first by default, with undated batches sorted last, or earliest received first — read on every allocation path.
  • Expired and recalled batches skipped by allocation, on every path, so earliest expiry first never hands out stock past its date or under recall.
  • A hand-picked batch that overrides rotation, so a deliberate choice is never second-guessed — unless the batch is expired or under recall, when the pick is refused with the reason.
  • Reservations from confirmed sales orders, held per warehouse and enforced on the till, invoice checkouts, transfers, manual issues and supplier returns.
  • Backorders filled oldest first as stock arrives, and released when an order is cancelled.
  • Bills of materials and assembly orders that build or unbuild at one warehouse, all or nothing, with component cost rolled into the finished item.
  • Serial numbers on every movement for items with serial tracking switched on.
  • A unit of measure on every item — pieces, boxes, cartons, dozens and other count units in whole numbers; kilograms, litres, metres, square and cubic metres and hours to three decimals — carried through receipts, issues, transfers, counts, holds, reservations, the till and purchase orders.
  • A true moving-average cost, blended on every receipt from the unit cost typed on the check-in, or the purchase order’s price net of tax and converted at the order’s rate, and posted to the ledger at that same cost.
  • A minimum and maximum per warehouse, overriding the item’s reorder point: Reorder fills a warehouse up to its maximum, and stock balancing treats its minimum as the floor.
  • A reorder point recalculated nightly from issues, adjustments and till sales, never written as zero when lead time and safety stock are empty, with an Automatic or Manual switch on each item — on the web item form and in the app — so a point a person set is kept.

More we can add to your workspace

  • Buying in one unit and selling in another — a purchase unit, a stock unit and a conversion factor on one item, so a carton of 24 received becomes 24 pieces to sell.
  • A unit of measure printed on invoice and purchase order lines, beside the quantity the item already holds in that unit.
  • A minimum remaining shelf life per customer or per order, so a buyer who needs six months of dating never receives three.
  • A reservation tied to a specific batch or bin, for a customer who has been promised one particular lot.
  • Kits that explode into their components at the till or on an invoice, rather than being assembled ahead of the sale.
  • Yield, scrap and standard-cost variance on an assembly order, with labour and overhead absorbed into the finished cost.
  • Production planning — routings, a work-in-progress stage and material requirements planning.

Where we point you to a specialist

  • Earliest expiry first is the right default for anything that dates, and we would defend it. A per-issue override is a hand-picked batch, recorded as such — and an expired or recalled batch is refused even then.

Each offer here extends a rule that already runs in one place for every screen, which is what makes it buildable without touching the till, the invoice and the transfer separately. Tell us which one your warehouse needs first.

Smart Stock Accuracy

Smart Stock Accuracy & Predictive Guardrails

Moving from reactive stock counting to proactive shelf intelligence is the hallmark of a mature operation. AWRA doesn't just record what you have; it understands the velocity and health of every item in your ecosystem. By digitizing the heartbeat of your warehouse, we eliminate the 'invisible shrinkage' that plagues traditional systems, ensuring that every movement is backed by an immutable ledger and a clear chain of custody.

Our platform introduces advanced guardrails that prevent operational paralysis. When stock levels dip towards critical thresholds, the system doesn't just send an alert—it provides the context of pending RFQs, seasonal demand trends, and current vendor lead times. This enables your team to make replenishment decisions that are grounded in data rather than intuition, protecting your margins from the costs of emergency ordering and stockouts.

Trust is the foundation of effective inventory governance. With AWRA, transparency is built into every layer of the workflow. Managers gain a panoramic view of stock health across regional hubs, while floor staff benefit from a streamlined mobile interface that makes check-ins and transfers effortless. This unified perspective ensures that your inventory serves as a catalyst for growth rather than a bottleneck for productivity.

End-to-End Procurement Flow

AWRA connects requests → RFQs → quotations → POs → stock check-ins/checkouts in one seamless loop, ensuring smooth procurement and inventory alignment across your organization.

Attach receipts, delivery notes, and inspection reports directly to stock entries for full compliance and effortless audit readiness.

AWRA Inventory

Frequently asked questions

What is AWRA Inventory?
AWRA Inventory is the stock-control module of AWRA OpsHub. It tracks stock levels in real time across multiple warehouses, handles transfers, adjustments, cycle counts and quality holds, and raises low-stock alerts, so teams keep accurate inventory without slowing floor operations.
Does AWRA Inventory support multiple warehouses and stock transfers?
Yes. You can manage separate warehouses and locations, move stock between them with approval-controlled transfers, and see a full movement trail for every item.
Can AWRA Inventory alert me before I run out of stock?
Yes. It monitors live stock levels and raises a low-stock alert when an item crosses its reorder point. A reorder screen lists every item at or below its reorder point with what is already on order, the preferred or last supplier and the last price, and turns the lines you confirm into one purchase order per supplier. Choose a warehouse and that warehouse’s own minimum and maximum apply instead: it offers what has fallen to the minimum and suggests filling up to the maximum.
How does AWRA value stock?
At a moving average. Every receipt blends its cost into the item’s average before the stock lands: the unit cost typed on the check-in if there is one, otherwise the purchase order’s price, net of tax and converted at the rate recorded on the order. The receipt’s journal posts at that same cost, and the valuation, dead stock, turnover and ABC reports read the same average.
Can I stock items by weight or length?
Yes. Each item carries a unit of measure. Count units such as pieces, boxes and cartons stay whole; kilograms, litres, metres and the other measured units take up to three decimals across receipts, issues, transfers, counts and the till. Converting between two units on one item — buying by the carton and selling by the piece — is something we can add with you.
Does AWRA pick stock by expiry date or by receipt date?
You choose per item. Earliest expiry first is the default, with batches that have no expiry date sorted last; earliest received first is the alternative. The setting is read on every allocation — till sales, issues, invoice checkouts and transfers — and expired or recalled batches are skipped. A batch picked by hand still takes precedence unless it is expired or under recall, when the pick is refused with the reason. Changing an item’s rotation goes through item-master approval.
Can stock be reserved for a customer order?
Yes. Confirming a sales order reserves each stock line at the order’s warehouse, as much as is free, and backorders the rest. Reserved stock cannot be sold at the till, transferred or issued to anyone else, and backorders are filled oldest first as stock arrives. Reservations are per warehouse; rotation still chooses the batch.
Does AWRA support bills of materials?
Yes. A bill of materials lists the components of one finished unit, and an assembly order builds or unbuilds it at one warehouse, all or nothing. Component cost rolls into the finished item’s moving-average cost. Yield and scrap variance, labour and overhead absorption and production planning are things we can add rather than claim today.
Is AWRA Inventory suitable for businesses in Kenya and East Africa?
Yes. AWRA OpsHub is built for SMEs, NGOs and institutions across Kenya and East Africa, with multi-currency support and direct links to the procurement and accounting modules.
