Your records against your ledger, or your ledger against the bank.

AWRA answers both, on two screens, because they catch different errors. The four reconciliation ties compare figures that are all inside AWRA. Bank reconciliation compares the ledger with a document from outside it — the one record nobody in your organization can edit.

From statement to locked

Seven steps, and only the last one is final.

  1. Add the bank account

    Link it to an existing asset account in your chart, or let AWRA open a new one. Set the date to reconcile from, so older entries stay out of the way.

  2. Bring in the statement

    Upload a CSV, OFX or MT940 file of up to five megabytes, or let a bank feed deliver it. A first CSV stops once to map its columns.

  3. Match the obvious ones

    One click matches every line that has exactly one possible ledger entry, where no other line is competing for that entry.

  4. Review the suggestions

    Every remaining line shows up to three candidates, best first. Pick one, or tick several that add up to it.

  5. Resolve the rest

    Enter a bank charge or interest straight into the books from the line, or ignore a line that needs no entry.

  6. Check the date and balance

    Type the statement date and closing balance and see the ledger balance, the outstanding items and the difference, before anything is saved.

  7. Complete and lock

    Allowed only with no unresolved lines and no difference. The figures are saved, the lines locked, and the completion written to the audit log.

How a suggestion is chosen

Strict about the amount, patient about the date.

A suggestion engine that guesses at amounts makes work rather than saving it. So a candidate must be the exact amount in the right direction; only then do the date and the narrative decide the order.

Lowest score first. Because there are two candidates, this line is shown as a suggestion and left for a person — the one-click match only takes lines with a single candidate that no other line wants. “Jua” is three letters, so it is not counted.

Every line ends in one of three places, and then it is locked.

What refuses completion

  • Unresolved lines. Any statement line on or before the statement date that is still unmatched. The message says how many.
  • Any difference at all. Down to the cent. The message says by how much, so you know whether you are looking for a fee or a typo.
  • A date already reconciled. Each completion must be later than the last one on that account, so statements are closed in order.
  • A closed month, for entering. A line in a month you have closed cannot be posted from the reconciliation screen. Reopen the month, or post it by manual journal in an open one.

Bank accounts on your chart

Each bank account is tied to one asset account — an existing one, or a new one AWRA opens for it — with bank name, last four digits and currency.

CSV with a saved mapping

Guessed from the header row, confirmed once: signed amount or money in and out, date format, decimal comma, running balance. Reused for every later file.

OFX and MT940 as they come

The bank’s own transaction IDs and dates, with no mapping step. Re-importing an overlapping file adds only the new lines.

Match the obvious ones

A single click that matches only the uncontested lines, and says how many it matched.

Several entries, one line

A deposit made of three days of till takings clears against all three, provided they add up to it exactly.

A ledger fee, interest or a direct debit nobody booked is posted against the account you choose and matched in one step.

Where we point you to a specialist

  • We complete a statement only when it agrees, and would decline to post a difference to a suspense account to force it. A reconciliation balanced by force reads as finished and hides exactly the error it was run to find.
  • Whether a bank charge belongs to this period or the next, and how a disputed line should be treated, is a judgment for your accountant. The screen records what was decided and who decided it.

Frequently asked questions

Which bank statement files can I import?
CSV, OFX (including QFX, in the older SGML form and the XML form) and SWIFT MT940, up to five megabytes per file. The format is recognised from the file itself. A CSV from a bank you have not imported before stops once at a column-mapping step, where AWRA guesses the date, description, reference and amount columns from the header row and you confirm them; the mapping is then saved on that bank account for every later file. Statements can also arrive on their own through a bank feed.
How does automatic matching decide?
A ledger entry is a candidate for a statement line only if it is on that bank’s ledger account, in the same direction, for exactly the same amount, dated within ten days either side, and not already cleared. Candidates are ranked by how many days apart they are, with each shared word of four letters or more in the reference or description counting as five days closer. The one-click match takes a line only when it has exactly one candidate and no other line is proposing the same entry; everything else is left as a suggestion for a person.
Can one statement line match several ledger entries?
Yes. A cash deposit made up of three days of till takings can be matched to all three receipts at once, as long as they add up to the line exactly. If they do not, the match is refused and both totals are shown. The other direction — one ledger entry spread over several statement lines — is something we can add to your workspace.
What do I do with a bank charge that is not in the books?
Enter it from the line. Choose the account it belongs to, such as bank charges or interest, and AWRA posts the entry on the line’s date against the bank account and matches it in the same step. If the line falls in a month you have closed, entering is refused, and you either reopen the month or post a manual journal in an open one. A line that needs no entry at all can be ignored instead.
When can a reconciliation be completed?
When three things are true for the statement date and closing balance you enter: no statement line on or before that date is still unmatched, the statement balance equals the ledger balance adjusted for outstanding receipts and payments to the cent, and the date is later than the last completed reconciliation on that account. You can preview the figures at any date and balance before completing.
What does completing lock?
Every matched or ignored statement line dated on or before the statement date that was not already part of an earlier reconciliation. A locked line cannot be unmatched, ignored or entered again. The completion itself is saved with the statement date, the statement and ledger balances, the outstanding receipts and payments, who completed it and when, and an entry is written to the audit log.
How is this different from the reconciliation screen?
The reconciliation screen runs four ties between figures that are all inside AWRA: stock against the inventory account, open purchase orders against payables, debits against credits, and the payments register against bank and cash. Bank reconciliation compares your ledger with the bank’s own statement, line by line, which catches the things only the bank knows about — charges, interest, a cheque that never cleared.
Which plans include bank reconciliation?
Premium and Enterprise. Reconciling needs its own permission, separate from viewing or editing accounts, and adding a new bank account also needs the permission to manage accounts. The same actions are available over the API the AWRA mobile app uses.
