Account & Data Deletion

How to request that your AWRA OpsHub account and its associated data be deleted, what we remove, what we must keep, and for how long.

This page explains how to request deletion of your account and associated data for the AWRA OpsHub application and services, operated by AWRA OpsHub System ("AWRA", "we", "our", or "us"). It applies to both the AWRA OpsHub mobile app and web application.

How to request account deletion

Option 1 — In the app (fastest, for organization administrators):

  1. Sign in to AWRA OpsHub.
  2. Open SettingsSecurity & DevicesMy Account & Danger Zone.
  3. In the Danger Zone, select Delete organization & all data.
  4. Review the on-screen impact summary showing how many users, vendors, records, and files will be removed.
  5. Confirm by re-entering your password and typing your organization's name exactly. There is no separate email step — these two checks authorize the request.
  6. The organization is then scheduled for deletion after a 30-day grace period, and the scheduled date is shown on-screen.

Only an organization administrator or owner can delete the organization. If you are an individual user who is not an administrator, contact your organization administrator, or use Option 2 below to reach us.

Option 2 — By email:

  1. Email [email protected] from the email address registered to your account.
  2. Use the subject line "Delete My Account".
  3. Include your account email, organization/workspace name, and confirmation that you want your account and data deleted. We may verify your identity before processing.

Export your data first (optional)

Before deleting anything, you can request a copy of your data. On the same Settings → Security & Devices → My Account & Danger Zone page, choose Export your data. We prepare the export in the background and send a secure download link to your in-app notifications. This lets you keep your own records before the deletion is finalized.

What happens after you request deletion

  1. Request & authorize — you submit the request and authorize it by re-entering your password and typing the organization name (in-app), or by verifying your identity with our team (by email).
  2. Preview — you can review exactly which records will be permanently lost.
  3. Grace period — the account is scheduled for deletion after a 30-day grace period. During this window the request can be cancelled to restore the account — contact us at [email protected] if you need to reverse an in-app request.
  4. Permanent deletion — once the grace period ends, your account and associated data are permanently purged from our production systems automatically.

What data is deleted

When deletion completes, we permanently remove the personal and business data associated with your account and workspace, including:

  • Account and profile information — name, email address, phone number, country, and login credentials.
  • Authentication data — multi-factor authentication settings and biometric configuration held on your account.
  • Workspace business records you created in the app — inventory items, stock movements, procurement requests, RFQs, purchase orders, vendors, customers, sales, invoices, quotations, accounting entries, assets, uploaded photos, and related transaction history.
  • Device identifiers and usage/analytics data linked to your account.

What data is retained, and for how long

  • Grace-period copy: during the 30-day grace period, data is retained so the request can be cancelled; it is deleted at the end of the period.
  • Legal, tax, and accounting records: where the law requires it (for example, financial and tax records), we may retain limited records for the statutory retention period applicable in your jurisdiction, after which they are deleted or anonymized.
  • Payment data: AWRA OpsHub does not store full card or bank details. Payments are processed by third-party providers (M-Pesa, Paystack, PayPal); any records they hold are governed by their own retention policies.
  • Backups & audit logs: residual copies may persist in encrypted backups and security/audit logs for a limited period before they are rotated out and permanently overwritten.
  • Anonymized/aggregated data: data that can no longer identify you may be retained for analytics and product improvement.

Deleting some data without deleting your account

You can delete individual records (such as items, customers, or documents) directly in the app without closing your account. For requests to remove specific personal data while keeping your account, email [email protected] with the subject line "Privacy Request".
