The operational half

Govern the spending your core banking system never sees.

SACCOs use AWRA for the operations around the loan book: procurement with quotations on the record, asset registers with named custodians, branch budgets and expenses, staff payroll, and member queries on an SLA clock. Member accounts stay in your core banking system.

SACCOs & Microfinance operations

The problem

A SACCO’s core banking system knows every member’s balance and nothing about the vehicles, fit-outs and allowances that member money pays for.

The AGM question

Who supplied the vehicles, at what price, and who else quoted — answered from memory.

A register that exists on paper

The balance sheet lists the assets; nobody can say where half of them are.

Branch spending on trust

Expenses are reviewed at year-end, when the variance is already history.

How AWRA solves it

What SACCOs & Microfinance teams get.

Member queries become tickets with an owner, a category SLA and an escalation path, and the SLA report shows which were met.

Put procurement requests and stock write-offs through one Approvals Hub, with each decision written to a tamper-evident audit log.

Answer the AGM question — who supplied it, at what price, who else quoted — from the RFQ and quotation comparison stored against the purchase.

Keep vehicles, branch fit-outs and ICT on a register with a named custodian, a location and a movement history.

See committed spend per branch and department from approved purchase orders, with an over-budget request flagged to the approver.

Pay staff and allowances through payroll with PAYE, NSSF, SHIF and the housing levy computed, so allowances are taxed on the record rather than paid in envelopes.

Quotation evidence

Supplier responses compared and kept against the purchase they led to.

Typical workflow

The routines AWRA runs for SACCOs & Microfinance.

Branch purchase with quotations

  1. 1 Raise the request against the branch budget
  2. 2 Invite quotations through an RFQ
  3. 3 Compare responses and approve
  4. 4 Receive, match the invoice and pay

Asset verification round

  1. 1 Schedule the round by branch
  2. 2 Confirm custodian, location and condition
  3. 3 Record what was not found
  4. 4 Reconcile the register to the financial schedule

Committee review

  1. 1 Grant a role built from view permissions
  2. 2 Sample procurement files end to end
  3. 3 Check the register against the last round
  4. 4 Raise findings as tracked tasks

Example organisation

A five-branch deposit-taking SACCO

An illustrative profile, not a named customer

Where they are today

Head office and five branches, a fleet of eight vehicles, and procurement files kept in ring binders at head office.

Where they would start

They would start with a branch-by-branch asset count to build the register, then run every new purchase through RFQ and quotation comparison from day one.

How the six-step rollout works

What changes after implementation

Before and after, in the routines you already run.

Before After
Quotations filed in a binder Quotations compared and stored against the purchase
An asset schedule nobody can reconcile A register with a custodian and location for every asset
Branch spending reviewed at year-end Committed spend per branch visible as orders are approved
Allowances paid in cash Allowances through payroll with deductions computed

How the rollout goes

1

Start with the asset register and procurement — the two areas an inspection samples first — before branch budgets and payroll.

2

A supervisory committee works through a custom role built from view permissions. Reading the audit log currently sits behind the workspace-settings permission, so decide deliberately who holds that rather than granting it to the committee by default.

3

Member registers, savings, share capital, loans and dividends are not in the product, and we would rather sit beside your core banking system than duplicate it. The SACCO operations page sets out what runs around the core system today.

What you can measure afterwards

Committed spend vs budget
Assets verified
Quotations per purchase
Member query SLA
Approval cycle time

Questions

What SACCOs & Microfinance buyers ask.

Does this replace our core banking system?

No. Members, savings, share capital, loans and dividends stay in your core system. AWRA governs the operational spend around it — procurement, assets, budgets, expenses and staff payroll.

Can the supervisory committee review without editing anything?

Yes. Roles are built from individual permissions, so a committee role can hold view permissions only. Reading the audit log currently needs the workspace-settings permission, so decide separately who holds that.

Can a small SACCO start with part of it?

Yes. Starting with the asset register and procurement — the two areas inspections sample first — and adding budgets and payroll after is a sensible order.
