Inventory & Warehouse

209

Stock control — item master and locations, counts and adjustments, transfers and approvals, traceability and quality holds, replenishment, and warehouse operations.

Signature Capture

Signing for goods at the point of handover

AWRA can capture a hand-drawn signature at the moment goods change hands — a delivery received (including against a purchase order), stock issued out, an asset handed to a custodian, and a stock transfer, which takes two signatures: one at dispatch and one at receipt. The printed name of the signer and the timestamp are stored with the drawing, the mark prints on the delivery note and the PDF, and it works with no signal because the signature travels with the movement through the offline queue. Signing is always optional and never blocks a stock movement.

Purchase orders, receiving & matching

Inspection hold, batches and posting preview at receipt

Yes. When receiving against a purchase order, units can be held for inspection with a note, or an item can be set to hold every delivery; held units are booked in but land as inspection pending, off sale, until released. Batch, expiry and serial numbers are captured on the receive screen and checked at approval. A posting preview shows the exact journal the approval will post, line by line, and writes nothing.

Supplier Payment Runs

Supplier payment runs

A payment run gathers approved supplier bills due by a chosen date into one numbered run (PRUN-…) that someone other than its preparer approves. Each line pays by bank CSV, cheque, cash, M-Pesa to a phone or paybill/till, or Paystack, with the supplier's payment details fixed at approval and re-checked at payment. Confirmed lines post Dr Accounts payable / Cr the paying account, apply open debit notes and book withholding.

Supplier Prequalification

Re-qualification & blacklisting

Approved suppliers stay qualified for a configurable period and are flagged for re-qualification when it lapses — keeping your vendor list current. Businesses can also blacklist a supplier (with a reason), which deactivates them, excludes them from RFQs, and blocks re-applications.
