Verified Clock-In
Make sure the person clocking in is the employee, and that they are where they say they are: a passkey on their own phone, a GPS check against their assigned sites, and, where you want it, a QR code at the door.
Verification applies to an employee clocking themselves in or out: on My Attendance, on the no-login time portal and in the mobile app. HR’s daily register, imports and approved corrections are not checked, so you can always record time for someone yourself.
The Three Checks
- Device passkey. The employee unlocks their registered phone or computer with its fingerprint, face or PIN. This proves the clock-in came from their device.
- Location. If the employee has assigned sites, the phone’s position must be inside the radius of at least one of them. The distance is worked out on our servers from the coordinates, never taken from the phone’s word for it. A GPS reading less accurate than about 100 metres is refused with a request to try again near a window or outdoors.
- QR code at the door. Optional, per site. When the site requires it, the employee also scans the site’s code: the live kiosk screen, which changes every 30 seconds, or the printed poster.
An employee with no assigned site is treated as field or remote: the passkey is checked, the location is not. If a site has clock hours set, those are checked too; see Attendance & Time Tracking.
Registering A Device
The employee opens My Attendance (or their time portal link) on the phone they will use and clicks Register this device. Registering the first device switches verification on for them straight away. They can add a second device with Register another device.
Switching It On And Off Per Employee
Open the employee’s profile in Human Resources → Employees and find the Attendance Verification card.
- Sites — tick every site the employee may clock in at and save. Being near any one of them is enough. Leave all unticked for field or remote staff.
- Enable Verification — only possible once the employee has registered at least one device.
- Disable Verification — turns it off. Their own clock-in then stops until it is on again.
- Registered devices — remove a lost or replaced phone. Removing the last one switches verification off.
For many people at once, tick them in the employee list and use Enable Verification (anyone without a registered device is skipped and named) or choose a site and click Add to Site, which adds the site without removing their others. These actions need the Edit Employees permission.
Reviewing Failed Attempts
Every clock-in and clock-out attempt is logged, passed or failed, with its distance, GPS accuracy, and whether the device and QR checks passed. Open Human Resources → Attendance → Verifications (the Clock-in Verifications page, which needs View Attendance).
- Needs review — the employee scanned the right site’s QR code, but their phone’s GPS placed them out of range. They proved they were there; their phone’s location is what is unreliable. The clock-in was still refused. Help them turn on precise location, or file a correction if they genuinely worked.
- All failures — every refused attempt, with the reason the employee was shown.
- All attempts — passes included.
Common Mistakes
- Registering a shared tablet or front-desk terminal. The passkey proves that a registered fingerprint or face unlocked the device, not which employee did. It works best on a phone only that person uses.
- Setting a site radius too tight for the building, so people at the far end of the yard are refused. Widen it in Human Resources → Attendance Sites.
- Leaving a printed QR poster up after it leaked. Regenerate the site’s QR code when editing the site; the old poster and kiosk code stop working.
