Customer Portal

Give the people at a customer their own sign-in to see their invoices, statement, quotes and credit notes, download PDFs, accept or decline quotes, and pay by M-Pesa or card — with no password, only an emailed link.

Open Sales → Quotes and choose Customer portal in the row of links at the top. This screen lists everyone who has portal access, which customer they belong to, when they last signed in, and whether their access is active. It also shows the portal address to share — the sign-in page your customers use.

Inviting Someone

  1. Click Invite someone.
  2. Choose the customer, then enter the person's name and email. Several people from one customer can each have their own access.
  3. Click Send invitation. They receive an email from your organization with a sign-in link.

One email address belongs to one customer in your portal: an address that already has access for a different customer is refused. Inviting an address that already belongs to the same customer simply updates the name and sends a fresh link.

How Customers Sign In

  • There is no password. The customer enters their email on the portal sign-in page and is sent a link.
  • Each link works once and expires in 30 minutes.
  • Opening the link shows a button to finish signing in, so email security scanners that open links cannot use it up before the customer does.
  • The sign-in page gives the same answer whether or not an address has access, and limits how many links one address can request, so it cannot be used to check who your customers are or to flood an inbox.
  • A browser that is signed in to your staff workspace or the vendor portal is asked to sign out first, or to use a private window.

What The Customer Sees

Every page shows only that one customer's records with your organization, under your name and logo.

  • Overview — what they owe in total, how much of it is overdue, their recent invoices, and any quotes waiting for an answer.
  • Invoices — the invoices you have issued to them (drafts are never shown), each with its lines, payments and a downloadable PDF.
  • Statement — invoices, payments and credit notes with an opening balance, a running balance and a closing balance. It shows the last six months by default and they can choose their own dates.
  • Quotes — every quote you have sent them, with its PDF. An open quote can be accepted or declined, with an optional note; the answer is recorded under the signed-in person's name and the quote's author is notified.
  • Credit notes — issued and applied credit notes.

Paying From The Portal

Customers can pay all or part of an invoice's balance from the invoice page:

  • M-Pesa — they enter their phone number and amount, and approve the prompt on their phone.
  • Card — they are taken to Paystack's payment page and brought back to the invoice afterwards.

Money goes to your own connected M-Pesa and Paystack accounts, set up under Settings → Finance & Tax → Payment Settings. Each option appears only when that gateway is connected and active, for an invoice in Kenyan shillings with a balance of at least 1. A payment is recorded against the invoice only when M-Pesa or the card network confirms it, not when the customer clicks pay.

Resending And Revoking

  • Resend link emails an active portal user a fresh sign-in link — useful when an invitation expired before they opened it.
  • Revoke turns access off straight away. A customer who is signed in is signed out on their next click, and every link already sent stops working.
  • To restore a revoked person, invite them again with the same email.

What Reaches The Ledger

The portal itself posts nothing. A confirmed portal payment is recorded against the invoice like any other customer payment and reduces its balance; quote answers change only the quote.

Permissions

Viewing the portal access list, inviting, resending and revoking all sit behind one permission: managing the customer portal. The same actions are available in the mobile app. Connecting the payment gateways is done in Settings.

Common Mistakes

  • An invoice the customer cannot see. Drafts and invoices on credit hold are not shown; approve the invoice first.
  • A quote missing from their portal. Only quotes you have sent appear. Editing a sent quote while approval is on takes it back to draft until it is approved and sent again.
  • No pay buttons. Check that M-Pesa or Paystack is connected and active, and that the invoice is in Kenyan shillings.
  • Testing the portal in your own browser. Sign out of your staff account first, or use a private window.
  • An expired link. Links last 30 minutes; the customer can request a new one from the sign-in page, or you can resend.
