Asset Movements

Movements create the asset history. Every checkout, check-in, transfer, relocation, verification, damage report, loss report, or retirement action becomes part of the asset's timeline.

Common Movement Actions

  • Check out: Give an available asset to a custodian with an optional return date.
  • Check in: Return an asset from a custodian back to the organization or a location.
  • Transfer: Move responsibility from one custodian to another.
  • Relocate: Change the department, warehouse, or location without changing the custodian.
  • Verify: Confirm that an asset is still present, in the expected place, and in the expected condition.
  • Mark damaged or lost: Record a risk event and preserve the last known holder and location.
  • Retire: Remove an asset from active use with a retirement reason.

Approvals And GPS

Your administrator may require approval for selected asset movements, especially high-value or high-risk assets. Your organization may also require GPS evidence for checkout, check-in, transfer, relocation, or verification. If GPS is required, allow location access and wait for an accurate signal before submitting the movement.

Pending approval: If a movement requires approval, the asset state does not fully change until an authorized approver approves it.
