My Alerts & Margin-Drop Thresholds

Each person chooses how they hear about the problems that matter to their job: stockouts, margin drops, stuck approvals, failed syncs and ageing receivables, by email, push or SMS. The workspace keeps the ceiling, and nobody is told about records they cannot open.

Open it at Settings › My alerts, at /settings/my-alerts. The same screen is in the AWRA mobile app. Everyone can open it; what it lists depends on what you are allowed to see.

The Alerts You Can Choose

  • Stockouts and low stock: items at or below their reorder level. Needs permission to view items.
  • Margin drops: items whose realised margin has fallen. Needs permission to view accounting.
  • Stuck approvals: the pending-approval digest. Needs any approval permission.
  • Failed syncs: workflow failures and QuickBooks item or purchase order sync failures. Needs permission to view workflows or integrations.
  • Ageing receivables: the overdue-invoice digest. Needs permission to view invoices.

An alert about records you cannot open is not listed, and cannot be switched on for you.

Who Decides What

  1. The workspace switch is the ceiling. If a channel is off for an alert in Notification Preferences, it is off for everyone, and My alerts shows a lock in that box instead of a tick box.
  2. Your own choice narrows it, or adds you. Tick or untick email, push and SMS per alert.
  3. With no choice saved, the defaults apply: Admins get email and push, as they always have; everyone else gets neither until they opt in; SMS is off for everyone.

SMS

A text costs your organization money per message, so SMS needs four things: the workspace SMS switch on for that alert, your own opt-in, a working SMS provider set up for the workspace, and a valid phone number on your profile. If any one is missing, no text is sent and the other channels still work.

Each text is one segment of at most 160 characters. It carries counts only, such as how many items are low or how many invoices are overdue, never names or amounts, because a text can be read on a lock screen. Open the app or the web for the detail.

How The Margin-Drop Alert Works

For each item, AWRA works out the realised margin over a window: revenue minus cost, divided by revenue, across POS sales and issued customer invoices. POS lines use the cost they were sold at; invoice lines use the item’s moving-average cost. An item is flagged when its margin is below the floor, or when it has dropped by more than the set number of points against the window before.

  • Margin floor: 15% by default.
  • Drop in points: 10 by default, measured against the previous window.
  • Window: 30 days by default, anywhere from 7 to 180.
  • Minimum revenue: 1,000 in the base currency by default, so an item that sold once is not flagged.

It fires once per item per window, so an item that stays low is not repeated every day. The alert is per item, in your base currency. Service items, consignment and customer-owned stock, and items with no cost are left out, because a margin on them would not be a real figure. Sales in another currency are left out rather than converted.

Changing The Thresholds

People who manage settings see a Margin-drop thresholds panel on My alerts. The four values apply to the whole workspace, not just to the person who saves them.

Common Questions

I ticked SMS and nothing arrived. Check the workspace SMS switch for that alert, the SMS provider setup and the phone number on your profile. See Troubleshoot Notifications.

Does this replace the Smart Alerts board? No. The board still shows every check with an owner; My alerts decides who is told, and how. See Smart Alerts & Anomaly Radar.
