Profile Setup Guide
Keep your profile accurate so AWRA can identify your work, route notifications, and help teammates recognize your actions.
Your profile is used across approvals, comments, workflow tasks, reports, audit history, support conversations, and notifications. A clean profile helps your team know who created a request, who approved a task, who received stock, who handled a POS sale, or who should be contacted about an issue.
What To Review
| Profile Field | Why It Matters | Good Practice |
|---|---|---|
| Name | Appears on approvals, comments, tasks, reports, and activity history. | Use the name your team recognizes at work. |
| Used for invitations, password resets, notifications, and support identity. | Confirm spelling carefully and use your approved work email. | |
| Phone | May be used for urgent support, SMS alerts, mobile money, or operational follow-up. | Use a reachable number allowed by your organization's policy. |
| Photo | Helps teammates recognize approvers, custodians, and users in handovers. | Use a clear professional photo if your organization uses photos. |
| Department or location | Helps managers understand your operating area. | Tell your admin if it is outdated or missing. |
| Password and MFA | Protects your account and the records you can access. | Use strong credentials and keep MFA recovery options current. |
Setup Steps
- Open your profile or account page after first login.
- Confirm your name, email, phone, department, and location details.
- Add or update your photo if your organization uses profile images.
- Review notification preferences if the page allows you to choose email, in-app, SMS, or mobile alerts.
- Change your password if you were issued a temporary password.
- Confirm MFA setup if your organization requires it.
- Tell your organization admin if your role, branch, warehouse, vendor account, or department assignment is wrong.
Notifications To Expect
- Approval requests, assigned workflow tasks, escalations, and overdue reminders.
- Procurement updates such as RFQ invitations, quotation reviews, purchase orders, or receiving activity.
- Inventory and warehouse alerts such as stock issues, transfer updates, scanner exceptions, or count follow-up.
- Billing, support, or security messages if your role is allowed to receive them.
Common Mistakes
- Using a shared email address for individual work.
- Leaving an old phone number that support or notifications cannot reach.
- Ignoring an incorrect department, branch, or warehouse assignment.
- Sharing credentials because another user cannot see a page.
