Storage, Usage Limits and Add-ons

What each plan includes, where to see how much your workspace uses, what happens at a limit, and how to add more without changing plan.

Every plan includes file storage and a set of usage limits. Two settings pages show them: Settings › Storage for the space your files use and which areas use it, and Settings › Usage & limits for every other limit and how much of it is in use. The mobile app has the same Usage & limits screen under Settings.

The limits, and how each one behaves

LimitHow it countsWhen it frees up
File storageAttachments, documents, photos and generated PDFsWhen files are deleted, or storage is added
AI requestsAssistant answers, insight summaries, forecasts and document reading, per monthOn the 1st of the month
Emails, exports and API callsPer dayAt midnight UTC
Warehouses, POS counters, custom fields, portal accounts, API keysHow many exist nowWhen one is removed
Rows per import file and largest uploadPer fileSplit the file, or move to a larger plan
History keptThe longest retention an admin can setFixed by plan

The figures for every plan are on the pricing page. Enterprise limits are agreed in the contract.

What happens at a limit

  • Nothing already stored or created is removed.
  • A count limit stops one more being added, with a message naming the limit.
  • When storage is full, new uploads pause; documents the platform generates keep working.
  • When AI requests run out, screens keep their figures and drop the written summary until the 1st.

Adding more without changing plan

An admin can add capacity from Plan & Billing › Customize, or from the Usage & limits page: extra users and HR employee seats, storage by the GB, AI requests in packs of 500, extra warehouses and extra POS counters. Payment runs through Paystack, the new limit applies as soon as payment is confirmed, and add-ons renew with your plan. A reduction takes effect at the next renewal, and cannot go below what is in use. Prices are on the add-ons page.

Add-on or upgrade? When the add-ons you hold cost more than the next plan up, the upgrade is usually the better buy, and it brings the higher limits on everything else too.
