Onboarding & Offboarding Checklists

Template the steps that happen when someone joins or leaves — contract on file, equipment ready, access revoked, final pay settled — and have them start on their own, land with the right person, and come with a due date and reminders.

Open Human Resources → Overview → Onboarding & Offboarding. For HR the board lists every open step across all running checklists, soonest due first, with a Mine filter; everyone else sees only the steps that are theirs. Each employee's profile also shows their checklists and lets HR start one by hand.

Building A Template (HR)

  1. Open Templates. If you have none yet, you can create a starter pair — a New starter onboarding list and a Leaver offboarding list — and edit them freely.
  2. Give the template a name and choose whether it is for onboarding or offboarding.
  3. Add the steps. Each has a title, an optional description, an owner (the HR team, the line manager, the employee, or a named person) and a due date counted in days from the start date for onboarding, or from the end date for offboarding. Negative days fall before it, so a step can be due three days before someone starts.
  4. Tick Start automatically on hire or termination to have it begin on its own, and keep it active.

When A Checklist Starts

  • Onboarding templates set to start automatically begin when you add an employee, or hire one through Recruitment.
  • Offboarding templates set to start automatically begin when an employee's status changes to terminated, with due dates counted from their end date.
  • By hand, HR can start any template from the employee's profile, optionally with a different date to count from.

Starting a template copies it onto the employee. Each step's owner becomes a real person and its due date a real date, so later edits to the template, or a change of manager, never reshuffle a checklist already under way. An employee can have only one open copy of the same template. If someone is set back to active after being terminated, their open offboarding checklists are cancelled and HR is told.

Who Owns Each Step

Each owner is notified when their steps are created. A step that cannot reach a person falls to the HR team, with the reason shown — for example when the employee has no manager set, the employee has no login, or the owner's login is inactive. HR can hand any open step to someone else, or back to the HR team.

Ticking Steps Off

  1. Open the board and tick a step when it is done. You can add a note.
  2. When the last step is ticked the checklist is completed. Unticking a step on a completed list reopens it, and the reopening is recorded.

Owners tick their own steps without any HR permission, so a line manager or the new starter can take part. HR can tick any step. A cancelled checklist is frozen: its steps can no longer change.

Reminders

Every morning, the owner of each overdue step is reminded, at most every three days per step. Offboarding steps more than three days overdue are also copied to HR, since those are the access and final-pay steps that cannot be allowed to slide.

Permissions

  • Manage HR checklists — build templates, start and cancel checklists, reassign steps and tick any step.
  • Step owners — see and tick their own steps, with no checklist permission.

Common Mistakes

  • Giving steps to the line manager before managers are set on employee records, so they all fall to the HR team.
  • Editing a template and expecting checklists already running to change. They keep the version they started with.
  • Terminating an employee without an end date, so offboarding due dates count from the day you saved.
  • Leaving a template inactive or with automatic start unticked, then wondering why nothing started on hire.
