Off-Cycle Runs & Final Settlement
Pay chosen employees something extra in a month without touching the regular run, and work out a leaver's final pay — salary to the last day, leave, notice, gratuity and what they still owe — in a run of its own.
Both are payroll runs, created from Human Resources → Payroll → New Payroll Run, where the tabs are Regular, Off-cycle and Final settlement. They follow the same lifecycle as a regular run — calculate, approve, post — and posting puts each net payment in the Payments Register and locks the run. A run that was never approved can be discarded from its Related menu, which deletes its payslips and amounts.
Running An Off-Cycle Payroll
- On the Off-cycle tab, choose a reason (Bonus, Correction, Missed pay, Commission or Other), the period, the work country and the standard working days, then Create Run. The run starts empty.
- On the run page, add each amount: the employee, Pay or recover (an earning, or a deduction such as an overpayment recovered), the kind of pay (Bonus, Commission, Arrears / missed pay, Correction, One-off allowance or Other earning), a description and the amount. Tick Taxable and Pensionable as they apply.
- Amounts can be added and removed while the run is a draft or calculated. Then calculate, approve and post.
Tax Across Several Runs
Each payslip is taxed on the month's combined approved and paid pay for that employee, minus what that month's other payslips already deducted. Tax bands, personal relief and contribution caps therefore apply once per month, however many runs someone appears in — which is why a bonus payslip often shows more tax than the bonus would attract alone. A later run never refunds tax. The Kenya filing files (P10, NSSF, SHIF) and the P9 merge each employee's payslips for the month into one row. AWRA prepares these files; you upload them to each authority's portal and make the payments yourself.
Preparing A Final Settlement
- Start from the employee's profile — the Loans & Final Pay card has Prepare Final Settlement — or from the Final settlement tab. It needs the permission to run payroll and a work country on the profile.
- Choose the leaving employee, confirm the last working day (filled in from their end date when set) and the standard working days, which set the daily rate (basic salary ÷ standard working days). Choose Continue to figures.
- Review each proposed figure, change any of them, and choose Save and Calculate.
| Section | What is proposed |
|---|---|
| Salary to the last working day | Working days from the start of the month to the last day, on your working calendar, at the daily rate. Nothing is proposed if a regular run already paid this person for the month. |
| Unused leave encashed | Each paid leave type with its remaining balance for the leaving year. Tick the types to encash and set the days. |
| Notice pay in lieu | A number of days at the daily rate, or an amount you type instead. |
| Gratuity, severance, other | Amounts you enter. |
| Recover what is owed | Open employee loans and issued staff advances, with their balances. Tick which to recover. |
Every earning has a Taxable switch that starts ticked. No country-specific relief is applied to severance or gratuity automatically, so HR decides each item's treatment — check with your payroll adviser. Ticked recoveries come off the final pay but never take it below zero; loans and advances are recovered separately. A recovered staff advance is retired as cash returned when the run is posted, and goes through finance approval where your organization approves retirements. If the employee has no contract on file the daily rate is zero, and you enter the amounts directly.
Permissions
- Run payroll — create off-cycle and settlement runs, enter amounts and settlement figures, discard an unapproved run.
- Approve payroll runs and post payroll — the same separate steps as a regular run.
Common Mistakes
- Reopening a paid regular run to add a bonus, instead of creating an off-cycle run.
- Reading the extra tax on a bonus payslip as an error. It is the month's combined pay at work.
- Leaving severance ticked as taxable without checking the rules that apply to the leaver.
- Preparing a settlement before the employee has a work country, so the button does not appear.
