Receivable Write-Offs
Write off what a customer will never pay, with two people: one asks, a different person approves, and only then does it post to Bad Debt Expense and come off the invoice.
Open Write-offs at /accounting/write-offs; the page links to the Aging Report, where an old balance usually shows up first. The page lists every write-off with its invoice, amount, reason, who asked, and its status.
Asking For A Write-Off
- Under Request a write-off, choose the Invoice.
- Enter the Amount, in the invoice’s own currency. It must be above zero and cannot be more than the invoice still owes; part of a balance can be written off.
- Give a Reason and press Send for approval.
A request posts nothing. The invoice stays owed and the ledger is as it was until somebody approves it.
Approving Or Rejecting
Someone holding Approve write-offs who did not ask for it presses Approve or Reject (with a reason). Write-offs always need that second person; there is no exception for a one-person team.
- Approval posts Dr Bad Debt Expense / Cr Accounts Receivable. A foreign-currency invoice is converted at the invoice’s own exchange rate, so the write-off clears exactly what the invoice put on the books. An invoice with no rate recorded is refused until you record one.
- The posting can never be made twice for the same write-off, and it appears in the invoice’s Ledger postings panel.
- The invoice’s balance goes down by the amount. Written off in full, the invoice is closed as written off and leaves receivables.
- Output VAT is left alone. Claiming VAT back on a bad debt is a separate adjustment with its own conditions, not a side effect of giving up on the money.
Permissions
- View accounting — see the write-offs list.
- Request write-offs — ask for one.
- Approve write-offs — approve or reject one asked for by somebody else.
Write-offs are also in the AWRA mobile app: request one, or approve or reject someone else’s, from the phone. Both need a connection. A write-off waiting for you does not appear in the app’s approvals inbox or as a push approval, so open Write-offs to find it.
Common Mistakes
- Using a credit note to clear a bad debt. A credit note says the sale was wrong and reverses its revenue and VAT. A write-off says the sale was right and the money is lost.
- Posting a manual journal to Bad Debt Expense. The invoice then still shows as owed. Use a write-off so the invoice and the books agree.
- Giving one person both permissions and expecting it to post. They still cannot approve their own request.
