Closing & Signing Off A Cash Drawer
At the end of a shift the cashier counts the drawer and closes it. A supervisor — never the person who closed it — then signs the count off, and only at that point is any shortage or overage posted to the ledger.
This is the cash-up, or till reconciliation, for one drawer session. Cash drawers are listed under POS → Cash Drawers; the open drawer for your counter is also shown on the POS screen itself.
1. Count And Close
While a drawer is open, AWRA keeps a running expected cash:
- Count the notes and coins physically in the drawer.
- On the POS screen or the drawer’s own page, enter the total under Counted cash, add a closing note if something needs explaining, and choose Close Drawer.
- AWRA saves the count, the expected cash and the variance (counted minus expected). A negative variance is a shortage; a positive one is an overage.
Only cash is counted against the drawer. M-Pesa and card takings are recorded on each sale with their own reference — see POS Overview. A cashier who leaves without closing blocks the counter from opening a new drawer; anyone with access to the till can close it from the drawer page.
2. Awaiting Sign-off
Every closed drawer — balanced or not, large variance or small — waits for a sign-off. On POS → Cash Drawers, filter the status to Awaiting sign-off to see the queue; each one also shows Awaiting supervisor sign-off on its page. Nothing is posted to the ledger yet, so a miscount can be recounted with the cashier before it becomes an entry.
3. Supervisor Sign-off
- Open the drawer. The Supervisor Sign-off card shows the variance and whether it is short, over or balanced.
- Add an optional note (for example, “Recounted with the cashier; one note missing”).
- Choose Sign Off and confirm.
Who can sign: anyone holding the Sign off POS cash drawers permission, except the cashier who closed that drawer — nobody approves their own variance. A drawer is signed off once only; after that the page shows who signed, when, and the note.
What The Sign-off Posts
| Result | Journal |
|---|---|
| Short (counted less than expected) | Dr Cash Over and Short / Cr Cash, for the shortage |
| Over (counted more than expected) | Dr Cash / Cr Cash Over and Short, for the overage |
| Balanced | Nothing is posted |
The entry is referenced POS-DRAWER- plus the drawer number, so it is easy to find in the General Ledger. Cash Over and Short is a system account in the default chart; if your chart does not have it, it is created the first time it is needed. The sales themselves were already posted when they were made — the sign-off only adjusts cash to what was really in the drawer.
In The Mobile App
The app’s drawer list has the same Awaiting sign-off filter, and the drawer detail screen shows a Sign Off button to users with the permission. Sign-off needs a connection; it is not queued offline, because it posts to the ledger.
Permissions
- Use POS — open, drop cash from and close a drawer.
- View POS cash drawers — see the drawer list and each drawer’s figures.
- Sign off POS cash drawers — sign off a closed drawer (never one you closed yourself).
More We Can Add To Your Workspace
- Automatic sign-off within a tolerance, so a drawer a few shillings out does not wait for a person.
- Blind counts at close, hiding the expected cash from the cashier until the count is entered.
- Several tenders at checkout, splitting one sale between cash and M-Pesa in a single step (today one method is taken at checkout and further payments are added to the sale afterwards).
Common Mistakes
- “There is no Sign Off button.” You either lack the permission or you closed this drawer yourself. Ask another supervisor.
- Drawers closed before 14 October 2026 show Closed before sign-off was required and cannot be signed off; their variances were never journalled this way.
- Recording a cash drop as a closing note. Use Record Drop while the drawer is open, or the expected cash will be too high and the drawer will look short.
