Employee Loans

Lend to staff and have each regular payroll deduct the instalment until the balance is cleared — with the payout, repayments and interest in the ledger, and the balance visible to the employee.

Open Human Resources → Payroll → Employee Loans for the register, filtered by status and searchable by employee or loan number. An employee's profile also has a Loans & Final Pay card listing their loans, with a Loan button that opens the form for that person.

Issuing A Loan

  1. Choose the employee and enter the principal.
  2. Optionally set flat interest (%), charged once on the principal and added to what is repaid. Leave it at 0 for an interest-free loan.
  3. Give either an instalment amount or a number of instalments.
  4. Set the issue date, the month of the first deduction, and a purpose.
  5. Keep Record the payout in the ledger ticked to book the loan (Staff Loans receivable from Bank, with interest to Staff Loan Interest income). Untick it for a loan paid out before it was recorded in AWRA. Choose Issue Loan.

Repayment Through Payroll

From the first-deduction month, each regular payroll run deducts the instalment — never more than the remaining balance, and never more than the employee's remaining net pay, so a short month makes the schedule run longer rather than producing a negative payslip. The repayment is recorded on the loan when the run is posted. The loan page shows the schedule by payroll month and a repayment ledger linking each deduction to its run.

Changing A Loan

  • Pause — payroll skips the loan until you Resume it.
  • Record a Repayment — for money repaid in cash or by transfer, with the date and a note.
  • Write Off — clears the remaining balance, with a reason you must give.
  • A leaver's final settlement can recover the open balance from their final pay.

What The Employee Sees

On My Payslips, on the web and in the mobile app, a My Loans card shows each loan's status, instalment, amount repaid and balance. The employee is notified in the bell and by email when a loan is issued and when it is fully repaid; both can be switched in Notification Preferences.

Permissions

  • View payroll — see the register and each loan.
  • Manage employee loans — issue, pause, resume, record repayments and write off.

Common Mistakes

  • Leaving the ledger box ticked for a loan that was already paid out and booked by hand, so it is booked twice.
  • Expecting an off-cycle or settlement run to deduct the instalment. Only regular runs do; a settlement recovers the balance only when you tick it.
  • Recording a cash repayment and also letting payroll deduct the same month. Pause the loan first if the instalment was paid in cash.
