Price Lists
Give customers their own selling prices — a contractor rate, a distributor rate, a tender price — with quantity breaks and validity dates, and let every quote, order, invoice, recurring invoice and till sale pick the right price on its own.
Open Sales → Quotes and choose Price lists in the row of links at the top. A price list is a named set of selling prices. Assign it to a customer and every sales document you raise for them is priced from it, without anyone having to remember the rate.
How A Price Is Chosen
When a line has an item and no typed price, the price is decided in this order:
- The customer's own list, if they have one and it has a price for this item at this quantity.
- Your default list, if one is marked default and has a price that applies.
- The item's selling price, with the item's own tax-inclusive setting.
A list is only used while it is active and, when it has dates, between its valid from and valid to dates — checked against the document's date, not today's. Within a list, a row applies from its from quantity upwards, and the row with the highest from quantity not above the quantity being sold wins. All lists price in your organization's base currency.
The same rule prices quotes, sales orders, typed invoices, recurring invoices and the point of sale. The mobile app asks it too, so it can show what a customer will pay before the document is saved.
Creating A List
- Click New price list and give it a name.
- Optionally set Valid from and Valid to. A tender rate that ends on 30 June stops pricing on 1 July.
- Choose how the prices on this list treat tax: follow each item's setting, include tax, or exclude tax.
- Set the status (active or inactive) and tick Default list if it should price every customer who has no list of their own. Only one list can be the default; marking another moves it.
- Click Create list. You land on the list's own page to add prices and customers.
Adding Prices
- Under Add prices, pick an item. Its current selling price is shown beside it.
- Enter a from quantity (1 if left blank).
- Enter either a fixed price or a % on the selling price — from -100% to +1000% — never both. The Customer pays column previews the result.
- For a quantity break, add the same item again with a higher from quantity. Use Add row to enter several prices at once, then Save prices.
A percentage row follows the item: change the item's selling price and the list price moves with it. Results are rounded to your currency's own precision. Saving a row for an item and from quantity that already exists replaces that row; the same item and from quantity twice in one batch is refused.
The list flags two things for you to check: a break that charges more per unit than the smaller quantity above it (buying more would cost more — usually a typo), and an item whose lowest break starts above 1, so smaller quantities fall through to the default list or the item's selling price.
Assigning Customers
On the list's page, use Add a customer to put a customer on it, or Remove to take one off. Each customer has one list at a time, so adding a customer to this list moves them off any other. The default list needs no customers: it prices everyone without a list of their own.
What A Change Does — And Does Not — Touch
- Saved documents keep their price. A price is decided when a quote, order or invoice is saved and then stays on it. Changing a list affects the next document, never one already written.
- An accepted quote is billed at its accepted price. Its lines are copied to the order and the invoice rather than priced again.
- Recurring invoice lines without a fixed price are priced from the customer's list on each invoice date, so a list change reaches the next run.
- A typed price always wins. Leave the price blank and the list decides; type one and the line keeps it.
- Inactive lists are skipped, so you can retire a rate without deleting it.
Price lists post nothing to the ledger; they only decide the figure on a document.
Permissions
Anyone with access to sales can view price lists. Creating and editing lists, adding or removing prices, and assigning customers need the permission to manage price lists.
Common Mistakes
- A list that is out of date or inactive. If a customer is being charged the item's selling price, check the list's status and dates against the document date.
- A break starting above 1. A line below the lowest from quantity is not priced by that list.
- Expecting an open quote to reprice. Re-save the quote's lines with the price blank, or write a new quote.
- Typing a price out of habit. A typed price overrides the list on that line.
