Approving From Your Phone
Decide pending requests in the Android app — from the approvals hub, or with Approve and Reject on the notification itself — and set the till approval PIN a cashier asks you for.
The app runs every decision through the same Approvals Hub as the web, with the same permissions. A button you have no permission for is not shown, and a decision someone else has already taken cannot be taken twice.
Approve Or Reject On The Notification
- When a request arrives as a push and it is still pending, and you hold the permission to decide it, the notification shows Approve and Reject.
- Tap Approve to approve it, or Reject and type the reason in the reply field.
- The app checks the approvals hub again before acting. The notification is then replaced with what happened: Approved, Rejected, Already decided, or no longer yours to decide, or Open the app to finish this decision.
- Someone who may not decide the request gets an ordinary notification with no buttons.
- On the lock screen the request shows without its details or buttons. Unlock the phone to decide it.
- A request with more than one way to approve opens the app instead. An expense claim is the usual case: it is approved either for direct repayment or into this month’s payroll, so you choose in the hub.
- A rejection that needs a reason and was sent without one (fewer than three characters) also opens the app.
- Requests that can carry the buttons include purchase orders, requisitions, RFQs, quotations, invoices, stock transfers, inventory adjustments, asset movements, leave requests, staff advances and payment runs.
Finance Approvals In The Hub
- Expense claims — Approve · repay directly, Approve · repay in payroll (this month’s pay period), or Return with a comment.
- Staff advances and their retirements — approve or reject with a reason.
- Petty cash vouchers — approve or reject with a reason.
- Payment runs — approve or reject only. Paying the run out stays on the payment run’s own screen.
Each needs the matching approve permission, the same as on the web. A decision made with no signal is queued and checked against the record when the phone reconnects.
The Till Approval PIN
The approval PIN is for till discounts, not for the approvals hub or notifications. When a cashier gives a discount above your workspace’s limit, the till asks for a reason and for a supervisor who holds the Apply POS discount override permission to choose their name and type their PIN.
- In the app, open Profile. The Till approval PIN card shows only if you hold the override permission. On the web it is under Settings → My Account.
- Enter a PIN of 4 to 8 digits twice, and your account password to confirm it is you.
- Save. Cashiers can now ask you to approve a discount at their till. You can remove the PIN from the same card.
Five wrong entries lock your PIN for 15 minutes, and setting a new PIN unlocks it. You cannot approve a discount at your own till. See POS for the discount limit itself.
Common Issues
- No buttons on the notification: the request was already decided, you lack the permission, or it has more than one way to approve.
- No notifications at all: check the phone’s notification permission for the app and that you are signed in.
- The Till approval PIN card is missing from Profile: you do not hold the Apply POS discount override permission.
