AI & Data Controls

Decide whether your organization uses third-party AI at all, see which providers receive what, and read a log of the calls actually made.

Third-party AI is on by default. When it is switched off, nothing is sent to any AI provider from any in-app feature. Features keep working: insights, forecasts and comparisons still show their figures, without the written summary.

Switching AI Off Or On

  1. Open Settings → Security & Devices → AI & Data.
  2. Under Third-party AI, untick Use third-party AI for summaries, assistants and analysis.
  3. Click Save. The change applies to everyone in your organization straight away and is written to the audit log.

The switch sits on the one path every AI call in the product goes through — dashboard and module insights, the in-app assistant, helpdesk drafts and summaries, quotation analysis, supplier prequalification scoring, forecast narratives, workflow builder suggestions and procurement insights — so no feature can skip it. The setting is also in the mobile app.

Who Receives What

The page lists each AI provider in use, with its purpose, region and the data it receives, taken from the same published sub-processor register as our website. What is sent is the figures and text a feature is summarising and the question asked — never passwords, payment card data or files from connected Google accounts.

The Usage Log

  • Calls in the last 30 days shows each provider and purpose, the number of calls and when the last one was made.
  • Only the provider, the purpose and the length of the request are kept. The content of a request and its answer are never stored there.
  • With AI switched off, the log simply stops growing.

Permissions

  • View settings — see the page, the providers and the usage log.
  • Edit settings — switch third-party AI off or on.
Your workspace, not our website: the assistant on our public website and the Academy assistant answer visitors to our site, not your workspace, so this switch does not apply to them. Related: Security Basics.
