RFQ Deadlines, Sealed Bids & Quote Validity

Close an RFQ at a set time, keep every quoted price hidden until the bids are opened, and stop a quote that has expired from being awarded.

The Deadline

Set a closing date and time when you create or edit an RFQ. The deadline is optional; an RFQ without one keeps accepting quotes.

  • After the deadline a quote is refused at every entry: the supplier portal, the mobile and supplier API, and a buyer entering a quote on a supplier’s behalf.
  • If closing was unfair to a supplier, extend the deadline on the RFQ. A new deadline must be in the future, and it can be changed until the bids are opened — never after.

Sealed Bids

Tick sealed bids on the RFQ. A sealed RFQ needs a deadline, because that is when its bids may be opened. Sealing cannot be switched on or off once any quote has arrived — that would hide or reveal prices submitted under other terms.

  • Until the bids are opened, no buyer sees a quoted price — on the RFQ, the quotation, the comparison, the approvals hub or in the app. Quotes cannot be compared or awarded.
  • After the deadline, someone with the approve RFQ permission clicks to open the bids. This happens once, and the audit log records who opened them, when, and how many quotes there were.
  • From then on the quotes are compared, approved and awarded as usual.

Quote Validity

A quotation can carry a valid until date. Once that date has passed the quote no longer binds the supplier, so awarding it is refused — whole quote or item by item, on the web or in the app. Ask the supplier to confirm or re-quote.

Order of checks at award: sealed and validity rules come first; then any approval rules your workspace sets. Related: RFQs and Quotation Evaluation.
