Subscription Billing Guide
Use Billing to understand organization plans, payment flows, invoices, entitlements, usage limits, failed payment guidance, and admin controls.
Billing controls the organization's subscription status and plan access. Depending on your role, you may see plan details, invoices, payment status, entitlement limits, usage warnings, renewal information, or failed payment messages.
Admins may also receive plan expiry or billing risk reminders. These reminders are intended to surface upcoming plan risk, grace-period concerns, failed payment recovery, or entitlement pressure before users lose access to work-critical features.
Billing Lifecycle
- Plan selection: The organization chooses a plan or is assigned one.
- Payment: Payment is made through the supported payment provider or agreed billing method.
- Confirmation: AWRA updates invoice, receipt, plan, and subscription status.
- Entitlements: Enabled modules, usage limits, users, branches, integrations, or features become available based on plan.
- Renewal: The organization renews, upgrades, downgrades, or resolves failed payment before access is affected.
- Dunning and recovery: Failed payment notices guide admins to retry, update method, or contact billing support.
What Admins May See

Failed Payment Guidance
- Check the payment reference, amount, payer name, method, and timestamp.
- Do not retry many times without checking whether the provider already deducted funds.
- If payment was deducted but plan did not update, contact billing support with receipt and reference.
- If a card, mobile money, or bank payment failed, confirm provider message before retrying.
- Tell affected users if plan status temporarily limits access to a feature.
- When a billing risk reminder arrives, compare it with the current billing page before escalating.
Permissions And Controls
Billing pages should normally be visible only to organization admins, finance leads, or authorized billing contacts. If a user cannot view invoices, plan details, or payment status, ask the organization admin to confirm whether billing visibility is part of that user's role.
