Custodians
A custodian is the person or entity currently responsible for an asset. Custodians can be employees, contractors, departments, vendors, visitors, or other accountable holders. A custodian can be linked to a system user, but does not have to be a login user.
When To Create A Custodian
- Create a custodian for each employee or team that receives assets regularly.
- Create department custodians when a department owns shared equipment.
- Create vendor or contractor custodians when assets leave your organization temporarily.
- Mark custodians inactive, suspended, or exited when they should no longer receive assets.
Custodian Review
Use custodian records to review current assets, overdue returns, high-risk assignments, and movement history. This is especially important during staff exits, contractor handovers, branch audits, and project closeout.
