Report Data Dictionary, Joins, Pivots & Row Security

Know what every dataset and calculation means and who owns it, join related records without double-counting, pivot a report, decide which rows each person may see, and keep large reports fast and exports accountable.

This page adds to Custom Report Builder. Everything here works on reports you build; the system reports by module are covered in System Reports By Module.

Data Dictionary

The Data Dictionary, linked from the Reports dashboard, lists each dataset with its fields, a named owner and a steward note, and the certified calculations everyone should use instead of their own: gross margin %, markup on cost %, stock value at cost, days of cover, collected %, discount rate %, and similar. A dataset with nobody responsible shows “No owner named”. It is on the web, in the API and in the mobile app. Naming owners needs the manage all reports permission.

Joins That Never Multiply Rows

A report can bring in fields from a related record, for example an item’s preferred vendor, an invoice’s customer, a task’s assignee, a supplier bill’s purchase order, or a till sale’s till. Only declared relations are offered, and each joins from the record to its single parent, so adding a column can never turn one invoice into three rows and inflate a total.

Pivots

Turn a report into a pivot with sum, count, average, minimum or maximum. A pivot shows up to 24 columns, keeping the largest totals first, and 500 rows.

Row Security

The Row Security page under Reports (needs manage all reports) sets which rows people see in shared reports.

  • A rule applies to one person, one role, or everyone.
  • It compares a field with a fixed value, or with something about the viewer: their own user, their department, their warehouse or their employee record. A branch manager then sees only their branch’s rows in the same report everyone else uses.
  • If the viewer has no value to compare, for example no warehouse set, or the field no longer exists, they see no rows rather than all of them.
  • People with manage all reports are not limited by rules, so someone can always check the whole picture.

Guardrails For Big Reports

  • A time limit: a run that takes longer than 30 seconds stops and asks you to add a filter or a shorter date range.
  • A row limit per run, by plan: Free 2,000, Basic 5,000, Pro 25,000, Premium 50,000, Enterprise 100,000.
  • Cached previews for two minutes, cleared as soon as the data changes.
  • Results built ahead of time: tick it on a heavy report and it is rebuilt every hour, and opened from that copy while it is under three hours old. Someone limited by row security always gets a live run instead.
  • Query plan: people who manage all reports can open a report’s plan and see warnings about full scans and temporary tables.

Sensitive Exports

Exporting a sensitive report needs its own permission and a reason. The file is watermarked with who exported it, their email, the date and your organization’s name, on the last row of a spreadsheet and on a PDF.

Dashboard Cards And Report Health

  • A pinned card says why it may be out of date: the last run failed, the last refresh failed, it reads a retired field, or its pre-built results are over three hours old. Its rows open the report filtered on that row.
  • The Reports dashboard lists duplicated reports and reports with no active owner, so tidy-up has a starting list.
  • System reports have a Customize view button to hide columns you never use, saved for you only, and date presets from Today to Last year plus “Last N days”.

Scheduled Delivery

A saved report or saved filter can be emailed on a schedule, at an hour you set in your own timezone, to roles, named users or external addresses. Needs the schedule reports permission.

  • Daily, Weekly on one weekday, or Monthly on a day from 1 to 28.
  • Quarterly on that day of January, April, July and October.
  • Chosen weekdays: tick the days, for example Monday, Wednesday and Friday.

Drafting A Report With AI

Describe the report you want and AI fills in the builder. It is shown column names and types only, never your data, for one dataset you can already read. It fills the form; it never runs or saves the report. It respects your workspace’s AI settings.

Permissions

  • Edit shared reports — change a report someone has shared with you.
  • Manage all reports — owners, row security and query plans, and see every row.
