Walkthrough: QBO Sync Check
Check QuickBooks Online sync status, mappings, retries, source records, and reconciliation before escalating a finance integration issue.
QBO sync helps selected AWRA finance records align with QuickBooks Online where your organization enables that integration. A sync issue may come from missing fields, missing mappings, external authorization, duplicate records, or records that are not ready to sync yet.
Before You Start
- You can access Integrations, Sync Hub, QBO Sync, or finance sync status.
- You know the source record, such as invoice, payment, customer, item, tax, journal, or account.
- The source record is complete, approved, posted, or ready to sync according to your organization process.
- You know whether the issue is missing in QBO, failed in AWRA, duplicated, or mismatched.
- You have permission to view logs or can ask an authorized finance/admin user.
Steps
- Open the source record in AWRA and confirm customer/vendor, item, tax, amount, date, and status.
- Open QBO Sync, Sync Hub, or integration logs.
- Search for the record number, customer, invoice, payment, or sync run.
- Review status: pending, succeeded, failed, skipped, retrying, or needs attention.
- Read the message and identify missing account, tax, customer, item, payment method, or permission issue.
- Fix missing fields or ask an authorized admin to fix mapping.
- Retry only after the cause is fixed.
- Check QBO and AWRA again using the same dates, customer/vendor, amount, and status.
Mapping Checks
| Mapping | Common Issue |

| Customer or vendor | Name missing, duplicate, inactive, or not linked. |
| Item or service | Item does not exist in QBO or maps to wrong category. |
| Tax | Tax code missing or different from QBO setup. |
| Account | Income, expense, asset, receivable, or payable account missing. |
| Payment method | Cash, card, bank, mobile money, or provider method not mapped. |
Common Mistakes
- Retrying sync repeatedly without fixing the error message.
- Manually creating the record in QBO before checking whether AWRA already synced it.
- Comparing AWRA and QBO with different date ranges or statuses.
- Ignoring missing tax, account, customer, item, or payment mapping.
- Escalating without sync run ID, record number, or error message.
Escalation format: Include connector, record number, sync run, status, error message, retry count, expected QBO result, and what changed recently.
