Min / Max Per Warehouse

Give each warehouse its own floor and ceiling for an item, so a busy branch reorders sooner than a quiet one, and replenishment fills each place to what it should hold rather than to one number for the whole company.

Every item has a reorder point for the business as a whole. On top of that, any warehouse can carry its own minimum and maximum for the item. A warehouse with its own row is held to its own minimum; a warehouse without one falls back to the item’s reorder point.

Setting The Levels

  1. Open Inventory → Items, open the item and go to its Stock tab.
  2. Under Min / max per warehouse, each warehouse has a row with what it holds, a Minimum, a Maximum and a status.
  3. Type a minimum and, if you want one, a maximum, then save. Leave a row blank to keep using the item’s reorder point there.

In the mobile app the same table is on the item’s detail screen. Integrations can read and write the levels through the API (GET and PUT /api/items/{id}/warehouse-levels). Editing needs the edit items permission. Levels follow the item’s unit of measure, so a kilogram item can have a minimum of 12.5.

The Status Column

  • At or below minimum — this warehouse needs stock.
  • Within levels — between the minimum and the maximum.
  • Above maximum — holding more than it should; a candidate to transfer from.
  • Item reorder point — no row set here, so the item’s own figure applies.

Users restricted to blind counts see Blind count instead of quantities and statuses.

What The Levels Drive

  • Reorder. On Procurement → Purchase Orders → Reorder, choose a warehouse in Stock in. Items at or below that warehouse’s minimum are offered — even one the warehouse has never held, because nothing is below its floor. The suggested quantity fills up to the warehouse maximum; with no maximum, the item’s reorder quantity on top of what is held; with neither, twice the minimum. Anything already on open orders for that warehouse is taken off. See Reorder To Purchase Order.
  • Stock balancing. Transfer suggestions treat a warehouse below its own minimum as understocked. See Stock Balancing.
  • The item page status, per warehouse, as above.

What Still Uses The Item’s Reorder Point

  • Low-stock alerts and reminders compare the item’s total stock with the item’s reorder point.
  • Reorder with no warehouse chosen works on company-wide totals against the reorder point.
  • The nightly recalculation touches only an item reorder point set to Automatic (a point you typed is Manual and kept). Warehouse levels are yours and are never overwritten by it. See Reorder To Purchase Order.

More We Can Add To Your Workspace

  • Low-stock alerts per warehouse, so a branch manager hears about their own floor.
  • Levels per bin or location inside a warehouse, for pick faces and par levels.
  • Surplus measured against the maximum in stock balancing, rather than against the minimum.

Common Mistakes

  • A maximum below the minimum is refused on save: the maximum must be at least the minimum. A whole-unit item also refuses a fractional level.
  • Expecting the low-stock email to follow the branch level. It follows the item’s reorder point. Use Reorder per warehouse for branch-level replenishment.
  • Creating one item per branch to get different levels. Not needed any more — one item, one row per warehouse.
