Out of Office & Approval Cover

Going on leave? Hand your approval steps to a colleague between two dates. They sign what is waiting for you, and every signature records that it was made on your behalf.

Cover applies to the value-based approval chains on requisitions, quotation awards and supplier bills — the steps that name you, and the steps that need a role you hold. Anyone signed in can set their own cover; no permission is needed, because the delegate can only sign what you could have signed yourself.

Setting Cover

  1. Open Settings → Security & Devices → Out of Office.
  2. Choose who covers you under Covered by. It must be someone else in your organization.
  3. Set From and Until. The start cannot be in the past, and the end cannot be before the start.
  4. Add a Note if it helps (“Annual leave, back on the 14th”), then click Set cover.

The page lists your current and upcoming cover. Remove one with the bin button if your plans change. Setting and removing cover is also in the mobile app, and creating cover is written to the audit log.

What The Delegate Can Do

  • Named steps. A step that names you can be signed by your delegate while the cover runs.
  • Role steps. Your roles count for your delegate on approval steps, so a step needing “Finance Manager” can be signed by the person covering a Finance Manager.
  • They are told. When a step that waits for you becomes current, your delegate is notified as well as you.
  • On behalf of. The decision records whose step it was, so the approval trail shows that your delegate signed for you rather than in their own right.

Rules That Still Hold

  • One person signs at most one step of a document, so a delegate who already signed step 1 cannot also sign your step 2.
  • If the rule blocks self-approval, the people who raised the document still cannot sign it, delegate or not.
  • Cover cannot be passed on. You cannot choose someone who is away and has handed their own approvals to someone else, so a hand-over never turns into a chain nobody chose.
  • Cover starts and stops on its dates by itself. There is nothing to switch back when you return.
Cover, not a new role: out-of-office cover only touches approval steps. To give someone a colleague’s whole access for a while, use Temporary Access under Settings → People & Access. Related: Approvals and Audit Logs.
