Supplier Order Acknowledgement & Disputes

Suppliers acknowledge each purchase order with a delivery promise line by line, send shipment notices with their delivery note, and raise or answer disputes on the order’s own thread.

For The Supplier: Acknowledging

  1. Sign in to the supplier portal and open the order under Purchase orders.
  2. Under Acknowledge this order, set the Promised delivery date and a Note to your customer.
  3. For each line, choose: confirmed in full, part now with the rest backordered, all backordered, or cannot supply. A backordered line takes the Backordered qty and Backorder ships by.
  4. Press Acknowledge order. Later, Your delivery commitment shows Update commitment; every change is visible to the buyer. A closed order’s promise can no longer change.
  5. If you cannot take the order, give a reason under Cannot take this order? and press Decline order.

For The Supplier: Shipment Notices

  1. After acknowledging, use Send a shipment notice: Delivery note number, Shipped on, Expected to arrive, Carrier, Carrier tracking number, and the delivery note as a PDF or photo (up to 10 MB).
  2. Enter the quantities In this shipment. A line cannot be advised beyond what is not yet notified.
  3. Press Send shipment notice. The order moves to in transit.

For The Buyer: What You See

On the purchase order, the Supplier commitment & messages card shows the promised date and each line’s answer, and flags a promise later than the order’s due date and every partial, backordered or unavailable line. Shipment notices are listed with their delivery note. You are told in the bell when the supplier acknowledges, changes the promise, sends a notice or writes.

The Order Thread And Disputes

  • Each order has one thread: Messages with your customer for the supplier, Messages with the supplier for the buyer.
  • Either side can tick Raise this as a dispute before pressing Send. The supplier is emailed unless they turned order messages off.
  • Only a buyer who can approve purchase orders resolves a dispute, with a note, such as Credit note CN-114 agreed for the damaged cartons, using Resolve.
  • A dispute records what was agreed. It does not change the order, receipt or bill by itself.

Acknowledging, shipment notices and the thread work the same on the web portal, in the AWRA mobile app and through the supplier API.

Who Can Do It

  • On the supplier side, the contact needs the Purchase orders right.
  • On the buyer side, writing needs the permission to create purchase orders; resolving a dispute needs the permission to approve them.
