These answers explain common AWRA terms and situations in everyday language. If your screen looks different, your role, branch, warehouse, plan, or workflow status may change what you can see.

Workspace, Branches & Roles

QuestionAnswer
What is a tenant?A tenant is your organization workspace in AWRA. It contains your users, settings, branches, warehouses, items, vendors, customers, subscriptions, and reports.
Is a tenant the same as a branch?No. A tenant is the whole organization workspace. A branch is one business location, department, store, office, or site inside that workspace.
Why can I only see one branch or warehouse?Your role may limit you to the branch, warehouse, department, or vendor account you work with. Ask your tenant admin if your job requires wider visibility.
What is a role?A role is an access profile. It controls which menus, buttons, records, reports, approvals, exports, and settings you can use.
What is an approver?An approver is a user assigned to review and approve or reject a request, purchase, adjustment, transfer, payment, or workflow task.
Why is an approval button missing?You may not be the assigned approver, the record may not be ready, or your role may not include approval access for that module.

Inventory, Assets & Warehouses

What is an item?An item is anything your organization tracks as inventory, such as a product, SKU, spare part, supply, consumable, or raw material.
What is a warehouse?A warehouse is any controlled stock-holding area. It can be a depot, stock room, store, vehicle store, room, or other location where stock is managed.
What is an adjustment?An adjustment is a controlled correction to stock. It is used when counted, damaged, lost, expired, or discovered stock does not match expected quantity.
Should I use an adjustment for every stock mismatch?No. First confirm the warehouse, item, unit, date range, transfers, returns, sales, and pending approvals. Use an adjustment after the cause is understood or documented.
What is an asset?An asset is a company-owned item tracked for assignment, movement, maintenance, audit, or disposal, such as a scanner, laptop, tool, printer, or vehicle.
What is a custodian?A custodian is the person, team, department, branch, or warehouse responsible for an asset.

Procurement, RFQs & Purchase Orders

What is an RFQ?RFQ means request for quotation. It is sent to suppliers so they can submit price, availability, delivery time, tax, terms, and related details.
Is an RFQ the same as a purchase order?No. An RFQ asks vendors for offers. A purchase order is the formal buying document sent to the chosen supplier after approval.
What is a PO?PO means purchase order. It confirms what your organization is buying, from which supplier, at what price, in what quantity, and under which terms.
Can a vendor change a quotation after submitting?That depends on the RFQ status and your organization rules. If the RFQ is closed or already awarded, the vendor may need procurement support to update it.
Why can I not create a PO?The request may need approval, the quotation may not be selected, vendor details may be incomplete, or your role may not include PO creation.

Workflows, Sync & Connected Services

What is a workflow?A workflow is a guided process that moves work through steps, approvals, tasks, checks, notifications, and status changes.
Why is my workflow stuck?It may be waiting for an approver, missing required details, assigned to an unavailable user, blocked by record status, or waiting for another team.
What does sync mean?Sync means AWRA is aligning selected information with another connected service, such as accounting, payments, reporting, or communication tools.
Why did a sync fail?A sync can fail because required fields are missing, a connection needs attention, a matching record is missing, a duplicate exists, or the connected service rejected the record.
Should I retry a failed sync immediately?Only retry after the visible issue has been corrected. Repeating the same action without fixing the cause can create more confusion.

General Help

How does AWRA help with stockouts?AWRA reviews stock levels, movements, reorder points, and usage patterns so teams can identify items that may need replenishment.
Is my organization data shared with other organizations?No. Your organization works in its own AWRA workspace. Other organizations cannot view your records unless information is intentionally shared through an approved vendor interaction, export, or connected service.
Who should I contact when something looks wrong?Start with your tenant admin or department lead. Include the module, record number, branch, warehouse, user, timestamp, and what you expected to happen.
