Customer Cheques: Clearing & Bounces

A cheque is not money in the bank until it clears. AWRA holds a customer cheque in a clearing account, lets you clear it on or after its date, and reverses the receipt cleanly if it bounces.

Receiving A Cheque

  1. Record a payment on a customer invoice and choose Cheque as the method.
  2. Enter the cheque number and the bank; both are required for a cheque. Add the cheque date if it is post-dated.
  3. The invoice is paid down straight away, and the money is posted to Cheques Awaiting Clearance, not to your bank account: debit Cheques Awaiting Clearance, credit Accounts Receivable.

The Customer Cheques List

Sales → Customer Cheques lists cheques Awaiting clearance by default, oldest-dated first, with post-dated cheques flagged. Filter to Cleared or Bounced to see the history. It needs the record payments permission and is also in the API and the AWRA mobile app.

Clearing

When the bank credits the cheque, press Clear. AWRA moves the amount from Cheques Awaiting Clearance to your bank account. Clearing is refused before the cheque’s date, and the cleared date cannot be in the future.

When A Cheque Bounces

  • Press Bounce and give a reason; it is required.
  • The receipt’s journal is reversed line for line, including any exchange difference, under the reference CHQ-<number>-BOUNCED.
  • The invoice’s balance comes back. It shows as partly paid if other payments remain, otherwise as overdue or sent depending on its due date, so it reappears in collections.
  • The payment is marked bounced, and stays on the record.

Clear and bounce work only on cheques still awaiting clearance, and a retried request never posts twice. A bank charge for the bounced cheque is not added for you; record it as an expense in the usual way.

Till Tenders

The POS till takes Cash, mobile money, Card and Bank transfer. Mobile money is labelled M-Pesa in Kenya and Tanzania and Mobile money elsewhere. A bank transfer asks for a transfer reference, settles to your bank account, and can also be used to refund. See POS.
