Module Overviews

Each module opens on an Overview: the figures that matter today, what needs someone’s attention, and a way into every screen of that module — on the web and in the Android app.

Sales, Inventory, Procurement, Accounting and Automation each start with an Overview, the first link in that module’s menu. HR, Projects and Support have their own landing pages with the same layout. An overview only reads: opening it never changes a record.

What Is On An Overview

  • Headline figures at the top — for Sales, invoiced and collected this month, receivables outstanding and open quotes and orders.
  • Alerts — what needs someone today, such as 4 invoices overdue or 5 adjustments waiting for approval. Each alert opens the list it counts, already filtered. Nothing to flag means no alerts are shown.
  • KPIs — a row of measures such as average days to pay, on-time delivery or the workflow success rate over 7 days. A KPI that needs attention carries a warning mark.
  • Module cards — every screen of the module you may open, some with a count, such as pending requests.
  • Panels — short lists and charts that answer one question each: Overdue invoices, Lowest stock vs reorder point, Late purchase orders, Cash by account, Recent failures.

The Five Overviews

  • Sales — overdue invoices, sales by month, top customers, receivables aging, recent payments and quotes expiring this week. Alerts include unmatched M-Pesa receipts, invoices on credit hold and cash drawers left open.
  • Inventory — items, warehouses, stock value at cost and transfers in transit, with panels for lowest stock, value by warehouse, stock movement, expiring batches, recent adjustments and recent transfers.
  • Procurement — open requests, RFQs and purchase orders and what was committed this month, with the approvals queue, late purchase orders, spend by supplier, PO value by month, contracts inside their renewal notice and bills due in 14 days. Analytics & Performance is opened from here rather than from the menu.
  • Accounting — cash and bank, receivables, payables and this month’s net profit, with income against expenses, cash by account, unreconciled bank items, recent manual journals and budget overruns. Alerts include a previous month not yet closed.
  • Automation — active workflows, runs, open tasks and exceptions, with runs per day, the most active workflows, recent failures, the oldest open exceptions and connector health.

Who Sees What

An overview shows only what your role may open. A figure, alert, panel or card that points to a screen you have no permission for is left out rather than shown locked, so two people can see different overviews of the same workspace. Amounts in more than one currency are shown in the largest currency, with a note of the others, and are never converted.

On Your Phone

  1. In the Android app, open the menu and choose Overview under Sales, Inventory or Procurement, or open Automation Overview. In Accounting, the overview leads the Accounting Hub, above its close and module tools.
  2. The app shows the same figures, alerts, KPIs and panels as the web, worked out by the server in the same way, so the two never disagree.
  3. Tap a figure, alert or row to open that record or list in the app. Anything the app has no screen for opens on the web.
  4. Pull down to refresh. With no signal the app shows the last overview it loaded.

Common Issues

  • A panel or KPI you expected is missing: your role lacks the permission for the screen it opens.
  • A figure differs from a report: overviews work from today’s date, and Sales leaves draft invoices out of receivables. Open the panel’s link for the full list behind it.
  • The overview is empty: a new workspace shows its empty state until the first sale, order, journal or workflow exists.
