Document Vault

Keep contracts, licences, certificates and policies in one classified store where every view and download is recorded — instead of in an email thread or a shared drive nobody controls.

The Document Vault sits under Security. It is not general file storage: attachments belong on the record they relate to. The vault is for documents whose access matters as much as their content — the ones an auditor, a regulator or a customer's procurement team asks about.

Classification

Every document is filed as Internal, Confidential or Restricted. Classification is a filter and a signal, and it is what makes "who should be able to see this" a decision taken once at upload rather than each time someone asks.

Access Is Logged, Not Assumed

Each document tracks its own access history, and the list shows how many times a document has been reached. Downloads and in-browser views go through short-lived signed links rather than guessable addresses, so a copied URL does not become a permanent back door. That access record is the part that answers "who has seen our insurance certificate this year".

Active And Archived

Documents are active by default and can be archived when superseded. Archiving keeps the document and its access history while taking it out of the working list — the right move for last year's policy, which you may still need to produce but should not be circulating.

Two Permissions

  • View — browse, search by classification and status, open and download.
  • Manage — upload new documents and archive existing ones.

What Belongs Here

  • Supplier compliance paperwork from prequalification — tax compliance certificates, registrations, insurance.
  • Your own licences, certifications and insurance.
  • Signed contracts and policy documents.

Delivery notes, invoices and item photos belong as attachments on their record, where the people doing the work will actually find them. Document activity can be included in an Evidence Pack.
