Recurring Journals
Turn a posted manual journal — rent, a monthly accrual, an amortisation — into a schedule, so AWRA drafts it again every month, quarter or year and puts it through the same approval as a journal typed by hand.
A recurring journal is made from a journal you have already posted, so its lines, accounts and tags are ones you have checked once. The list is Recurring journals at /journal-entries/recurring; you land on it each time you make one.
Making One
- Open a posted manual journal from Manual Journals.
- Open Make recurring on its page.
- Give it a Name (the journal’s memo is filled in), choose Every — Monthly, Quarterly or Yearly — and On day, the day of the month each run is dated. Day 31 lands on the last day of a shorter month.
- Optionally set Until, the last date it may run.
- Press Make recurring. The page tells you when it will next run.
Only a manual journal can be made recurring. A posting made by a document — a sale, a bill, payroll — is made again by its document, not by a schedule.
What Happens On The Day
- Every morning AWRA runs each recurring journal that is due. Each run is saved as a draft with the template’s lines, dated on the run day, its memo followed by the month (for example Office rent (Nov 2026)), and submitted as the person who made the template.
- So it posts straight away, or waits for approval, exactly as the same journal typed by that person would. If journal approval is on and the total is at or above your threshold, or a line touches a sensitive account (which always needs a second signature), it waits in Manual Journals for a second person.
- If the job could not run for a while, it catches up month by month, oldest first, rather than skipping periods.
- If a run cannot be saved — an account was switched off, the month is closed and nothing is open after it, or the template’s author is no longer an active user — the template stops instead of skipping a period in silence, and the reason is written to the audit log. Fix the cause and make it again from a posted journal.
Managing The List
The list shows each template’s name and memo, how often and on which day it runs, the next run date, the last journal it made with a link to it, and whether it is Active or Paused.
- Pause stops it running; Resume starts it again.
- Remove deletes the template. Journals it already made stay on the ledger; reverse one from its own page if it was wrong.
Permissions
- View journal entries — see the recurring journals list.
- Create journal entries — make a journal recurring, pause, resume and remove it.
Recurring journals are managed on the web. Accruals that reverse themselves on the first day of the next month, and importing journals from a spreadsheet, are more we can add to your workspace.
Common Mistakes
- Making a template under a person who is leaving. Runs are submitted as the template’s author, so when they are deactivated the template stops. Make templates under a long-standing finance user.
- Expecting an amount to change on its own. Each run copies the template’s lines. When the rent goes up, remove the template and make a new one from a journal with the new figure.
- Looking for runs in the journal list as posted when approval is on. They wait for approval like any other journal; check Manual Journals for ones awaiting approval.
